    Scheduled AI Task Library

A reusable set of scheduled-task prompts, drawn from a live community thread and generalized so any client can adapt them.

Each task below has four parts: what it does, how often it runs, the tools it needs, and a prompt you can paste straight into Claude (or any AI assistant) to set it up on a schedule. Anything in [brackets] is a placeholder. Swap in your own channel, tool, or criteria.

Human in the loop. Anything that touches a client, a member, or money should draft for review and never send on its own. The prompts below say "draft" and "save for review" on purpose.

Keep it generic. None of these prompts contain private or client data, which is what makes the set safe to share and easy to reuse across accounts.

Start with one. A single task that runs reliably beats five that half-work. Pick the one that serves your most important goal, prove it for a week, then add the next.

    Daily

    1. Morning Briefing

Daily, ~8:45 AMCalendar, task manager, email, team chat

Opens your day with a single post: ranked priorities, open loops, and one win to start on a good note.

    Prompt
Every weekday at 8:45 AM, build my morning briefing and post it to [my team channel]. Pull from [my calendar], [my task manager], and [my inbox]. Include three sections: today's priorities (ranked), open loops waiting on me or on someone else, and one win or piece of good news. Keep it short and scannable, and put anything time-sensitive at the very top.

    2. Top 3 Daily Actions

Daily, ~9:00 AMTask manager, calendar, team chat

Gives the day a spine by naming the three actions that actually move your goals.

    Prompt
Every weekday at 9:00 AM, review [my task manager] and [my calendar], then post my top 3 actions for the day to [my focus channel]. Choose the three that move my most important goals forward, not just what is loudest. Add one line per action on why it matters today. Post only the three, nothing else.

    3. Inbox Triage and Draft Queue

    Daily, morningEmail

Turns a blank inbox into a stack of ready drafts you only have to approve.

    Prompt
Every weekday morning, scan [my inbox] for messages that need a reply. Draft a response to each in my voice and save it as a draft. Do not send anything. Order them so I can review fastest first: quick yeses, then scheduling, then anything that needs a real decision. At the top, tell me how many drafts are waiting.

    4. Warm Lead Pipeline

Daily, ~1:30 PMCRM or contact notes, chat

Catches warm signals before they cool and hands you ready-to-send touches.

    Prompt
Every weekday at 1:30 PM, review [my CRM or contact notes] for warm signals from the last 14 days: replies, opens, meeting requests, and content engagement. Triage who is worth a touch today, and draft a ready-to-send message for each in my voice. Post the shortlist and the drafts to [my channel] for my approval. Send nothing without me.

    5. Daily Connection List

    Daily, morningLinkedIn or social, chat

Feeds steady, specific outreach without you hunting for who to reach.

    Prompt
Every weekday morning, find 5 [LinkedIn] profiles that match this criteria: [role, industry, location, signals]. Drop them into [my channel]. For each one, give a one-line reason they fit, a sample connection note in my voice, and a link to a recent post of theirs I could comment on. Keep the notes specific to that person, not generic.

    6. Newsletter Roll-Up

DailyEmail or RSS, chat or dashboard

Replaces twenty newsletters with one digest you actually read.

    Prompt
Every morning, collect the newsletters I received in [my inbox or this label] and build one digest. For each, write a one-line summary and a direct link to the full article. Group them by theme. Deliver the digest to [my channel] so I read one post instead of clearing an inbox.

    7. Community Value Post

    DailyKnowledge base or notes

Puts your thinking in public so your work gets seen instead of forgotten.

    Prompt
Every weekday, pull one insight from [my notes or knowledge base] that would help [my audience], with no private or client data. Draft it as a short, plain-spoken post for [my free group]. Make it a single idea someone can act on today. Save it as a draft for my review before anything posts.

    Weekly

    8. Transcript Mining to Knowledge Vault

Weekly, e.g. SundayTranscription tool, knowledge base

Pulls the gold out of your calls and files it where you can find it later.

    Prompt
Every Sunday evening, comb my call transcripts from [my transcription tool] for items that meet this criteria: [client insights, recurring questions, strong quotes, decisions, ideas worth keeping]. Save each one to the right section of [my knowledge base]. At the end, give me a short synthesis of the themes that came up across calls this week.

    9. Action-Item Sync

Weekly or per batchTranscripts, task manager

Makes sure nothing said on a call falls out of your task list.

    Prompt
After each batch of call transcripts is processed, extract every action item and compare it to [my master task list]. Add anything that is missing, mark it pending, and tag it with the call or client it came from. Do not duplicate items I already have. Tell me how many you added.

    10. Client Wiki Update and Summary Email

Per client call, monthly reviewTranscripts, wiki, email, task manager

Turns each client call into an updated record, a drafted recap, and tracked follow-ups, with a monthly check against goals.

    Prompt
After each client call, pull the transcript and update the relevant sections of that client's page in [my wiki] with what changed. Draft a summary email to the client in my voice covering what we discussed, decisions made, and next steps, and save it for my review. Add any follow-ups I own to [my task list] with due dates. Once a month, evaluate the client against their quarterly goals and [my methodology milestones], and flag where they are on track, at risk, or behind, citing the evidence from recent calls.

    11. Weekly Social Batch

    Weekly, e.g. MondayContent notes, recordings

Drafts a week of content in one pass so the calendar is never empty.

    Prompt
Every Monday, draft my social content for the week from [my recent posts, notes, and themes]: [number] posts, [number] stories, one newsletter section, and one group post. Match my voice, keep each platform's format, and use no private or client data. Save everything to [my content doc] for review.

    12. Content Repurposing

    Weekly, e.g. MondayRecordings or episodes

Stretches one recording into five usable pieces.

    Prompt
Every Monday, take my most recent [recording or episode] and repurpose it into 5 formats: a short-form video script, a carousel outline, three social posts, a newsletter blurb, and a quote-graphic caption. Pull the strongest moments from the recording. Save all five to [my content doc].

    13. Blog Pipeline

Weekly, e.g. TuesdayCMS, SEO tool, design tool, tracking sheet

Moves a planned post from keyword to publish-ready draft, fully optimized.

    Prompt
Every Tuesday, take the next blog from [my keyword-cluster plan] and create a draft in [my CMS]. Write the post, then complete the meta title, meta description, keywords, and schema. Score it against [my SEO checklist] and revise until it passes. Create a matching carousel in [my design tool]. Log the internal links and backlinks in [my tracking sheet], and add the publish steps to [my task list].

    14. Calendar Prep Scan

    WeeklyCalendar, task manager

Surfaces the meetings that need work before they arrive.

    Prompt
Once a week, scan [my calendar] for the next 7 to 14 days and find events that need prep or have action items attached. For each, add a prep task to [my task list] with a due date and a priority, plus a one-line note on what the prep is.

    15. Strategy and Mentor Intel

Weekly, e.g. SundayRSS, chosen sources, chat

Keeps you current on the people and trends that shape your work, distilled to what matters.

    Prompt
Every Sunday, gather new material from [my chosen mentors, creators, and RSS feeds]. Pull the ideas, moves, and trends worth my attention and write a short brief: what is new, why it matters to me, and any action it suggests. Deliver it to [my channel].

    16. Account Reporting

    WeeklyAnalytics sources, per-account channels

Keeps every account you manage current without you pulling numbers by hand.

    Prompt
Every week, build a performance report for each account I manage from [my analytics sources]. Include the key numbers, what moved, and one recommendation per account. Post each report to [its channel] so the picture stays current.

    17. Ideal-Client Voice Mining

Weekly, e.g. SundayTranscripts, comments, reviews, communities

Captures the exact words your ideal client uses so your copy sounds like them.

    Prompt
Every Sunday, mine [my chosen sources: call transcripts, comments, communities, reviews] for the exact words my ideal client uses about their problems and goals. Save the phrases to [my voice file], grouped by theme, so my content and offers use their language instead of mine.

    Monthly

    18. AI-Search Visibility Audit

    MonthlyWeb and AI tools

Shows whether AI assistants recommend you when people ask, and what to fix if they don't.

    Prompt
Once a month, check how [my brand or name] shows up when people ask AI tools a question in [my niche]. Test [a set of real questions] across ChatGPT Search, Claude, Perplexity, and Google AI Overviews. Score my visibility, note where competitors appear instead, and give me a prioritized list of rewrites and pages to fix. Deliver it as a short scorecard.
Generic, shareable, no client data. Swap every [bracketed] placeholder for your own tools and criteria. Start with one, prove it for a week, then add the next.
